Huaxin campus ice cream vending machine in an approved university common area

Automated Ice Cream Serving for Approved Campus Locations

A campus ice cream vending machine can add a self-service dessert option to an approved school or university food-service location. The right equipment depends on the institution’s menu policy, available space, payment requirements and the operator’s ability to maintain it.

Huaxin offers B84 and B85 floor-standing vending machines, the Power7 countertop vending machine and the Easy7 countertop automatic ice cream machine. These provide different operating formats for school service providers, campus commercial operators, university facilities partners and distributors evaluating projects in the United States, Australia, Europe and Southeast Asia.

B84 and B85 support independent self-service purchasing. Power7 offers a countertop vending format, while Easy7 fits an existing café or food-service counter with a separate payment arrangement.

Match the Machine to the Operating Format

Choose the customer journey before choosing the exterior. An independent vending point and an existing campus café need different arrangements for payment, cup handling and staff access.

Model

Format and Operation

Suggested Campus Project Fit

Mix and Cup Capacity

B84

Floor-standing vending machine with touchscreen ordering and automated preparation

An approved indoor vending area with room for customers and servicing

Approximately 20 L mix; approximately 160 cups, subject to cup specification and configuration

B85

Floor-standing vending machine sharing the B Series platform, with a different exterior presentation

An approved self-service point where appearance must fit campus design requirements

Approximately 20 L mix; approximately 160 cups, subject to cup specification and configuration

Power7

Countertop automatic ice cream vending machine

A managed campus retail counter where vending payment and service access can be configured

6 L mix; approximately 32 cups, subject to cup specification

Easy7

Countertop automatic ice cream machine; a placed cup triggers the preparation process through cup detection

An existing campus café or canteen using its own checkout and cup-handling procedure

3.8 L mix; cups supplied separately

B84 and B85 have a 32-inch touchscreen. Power7 has an approximately 13-inch touchscreen, while Easy7 has an 11.6-inch display.

Confirm installation dimensions, ventilation clearance, electrical requirements and service access using the current documentation for the selected model. Countertop projects also need a suitable supporting counter and access for replenishment and cleaning.

Plan Around Campus Access and Timetables

Campus projects serve a recurring population, making consistent availability and clear service procedures important. Evaluate the proposed location across teaching days, evenings, weekends and academic breaks rather than relying on total enrollment.

Proposed Location

Operating Opportunity

What to Review

University student union or common area

Self-service purchasing between classes or activities

Building hours, queue space, nearby food services and cleaning access

Indoor residence common area

An evening purchase option where the institution permits it

Security, waste disposal, service access and who responds after normal working hours

Campus café or canteen

Automated preparation within an existing food-service operation

Counter space, checkout workflow, cup handling and staff responsibilities

Approved school dining or vending area

A controlled food-service addition

Menu approval, permitted sales times, age-appropriate presentation and supervision requirements

Between-class demand can arrive in short bursts. Check how customers will queue and collect their cups without obstructing circulation. Evening availability depends on building access and a workable service response.

For repeat users, keep menus, prices and collection instructions consistent. Assess performance across the academic calendar before extending the project to additional buildings.

Configure Cashless Payment for the Institution

For B84 and B85, card, QR and mobile payment integration can be evaluated against the destination country, local payment service provider, terminal and machine configuration.

For Power7, confirm the proposed payment method and complete vending workflow before ordering. For Easy7, plan payment through the existing café or canteen checkout unless a separate arrangement has been specifically confirmed.

An institution may request student-card, campus-wallet or meal-plan acceptance. These require a separate compatibility assessment with the institution’s provider; ordinary cashless payment support does not establish compatibility with a campus account system.

Provide Huaxin with the country, preferred PSP or payment provider, terminal details and required transaction workflow during quotation.

Make Cup Handling Part of the Hygiene Plan

B84 and B85 can dispense matching cups automatically on compatible configurations, reducing the need for customers to position empty cups themselves. Customers collect the finished cup from the pickup opening. The production viewing window is a separate feature.

Power7’s cup-storage and collection arrangement should be reviewed with the selected configuration. Easy7 requires a cup to be placed before automatic preparation, so the operator must define how clean cups are supplied and handled.

Automated serving still needs an assigned hygiene procedure. Include ingredient receiving and storage, replenishment, food-contact component cleaning, pickup-area cleaning, waste removal and inspection records.

The B Series one-touch cleaning program helps with routine cleaning but does not replace manual hygiene and maintenance. Pasteurization is optional on compatible B Series configurations; Easy7 and Power7 do not support it.

Submit the Actual Menu for Approval

B84 and B85 use one main base mix at a time. Compatible sauces and toppings can create different combinations around that base.

Submit the proposed recipe, portion size, ingredient information and allergen information to the institution before finalizing the menu. Recipe flexibility does not establish nutritional suitability or school approval.

For U.S. school proposals, review the relevance of USDA Smart Snacks guidance with the institution. In New South Wales, school food and drink criteria also address vending machines. These are jurisdiction-specific requirements, not universal approval for an ice cream product. NSW Food and Drink Criteria

Manage Replenishment and Multiple Locations

A campus ice cream vending machine project needs a service schedule that follows actual consumption and ingredient-handling requirements. Larger reservoirs or cup stores do not establish a fixed refill interval.

During an initial operating period, record mix usage, cup usage, peak demand and any unavailable periods. Use those observations to plan visits before concentrated demand, while keeping cleaning and ingredient checks on their required schedules. Review the plan when teaching ends, residences empty or building hours change.

For network-enabled B84 and B85 machines, remote management supports operating-status monitoring, sales review, status alerts and selected basic controls, depending on Master OS configuration, connectivity and account permissions.

Operators managing several buildings can use this information to prioritize visits. Maintain a separate record of cleaning, replenishment and physical service work. Confirm Power7 and Easy7 remote functions separately rather than assuming they provide the same capabilities as the B Series.

Prepare a Campus Approval Proposal

Present the campus ice cream vending machine as a defined food-service operation with clear responsibilities. A useful proposal should address:

  • Menu: recipes, portions, ingredients, allergens and required nutritional review.

  • Location: floor plan, circulation, collection space and servicing access.

  • Utilities: electrical configuration, ventilation and any required network access.

  • Operations: replenishment, cleaning, waste disposal and incident response.

  • Payment: provider compatibility, transaction support and requested campus-system integration.

  • Commercial arrangements: the operating party, existing catering agreements and responsibility for maintenance.

  • Presentation: institution-approved exterior graphics and customer-facing content.

University and school approvals may follow different processes. Obtain acceptance for the specific menu, location and operating arrangement before scheduling installation.

Frequently Asked Questions

Is a school or university campus suitable for installation?

Potentially, where the institution approves the menu and location and the operator can provide reliable servicing. Evaluate permitted sales times, building access, utilities, customer circulation and existing food-service agreements. A university common area and a school dining area should be assessed individually.

Can the machine accept cashless payments?

B84 and B85 support payment integration subject to the country, local provider, terminal and configuration. Power7’s payment arrangement requires project confirmation. Easy7 normally uses a separate counter checkout workflow. Student cards, meal plans and campus wallets require their own compatibility review.

How can the operator control hygiene?

Use documented procedures for ingredient handling, replenishment, cleaning, cup supply, collection-area inspection and waste removal. Assign trained personnel and follow the selected machine’s instructions alongside the institution’s requirements. Automatic cup dispensing and cleaning programs do not establish a sterile or maintenance-free operation.

How often does the machine need replenishment?

There is no fixed interval for every campus. Frequency depends on actual purchases, portion size, mix capacity, cup storage, permitted operating hours and ingredient-handling requirements. Establish the schedule through measured usage and review it when the academic timetable changes.

How can one operator manage several machines?

Network-enabled B84 and B85 machines allow remote status and sales review, with alerts and selected controls depending on configuration. Combine this information with assigned service routes and records of cleaning and replenishment. Confirm countertop remote capabilities separately, and identify who will respond to faults in each building.

What will the school or university review before approval?

Expect to discuss the menu, nutrition and allergen information, hygiene procedures, placement, electricity, payment methods, service access and operating responsibilities. Existing catering contracts and institution-specific policies may also affect approval. Submit the actual proposed configuration rather than relying on a general equipment description.

Does automated serving eliminate the need for staff?

It reduces preparation tasks for each order, but staff are still needed for replenishment, hygiene, inspection and service. Easy7 also requires an organized counter payment and cup-supply workflow. Plan evening operation only where access and service coverage have been agreed.
